EPIC BDC LLC – TERMS & CONDITIONS

Effective Date: 7/1/2019These Terms & Conditions apply to all business development center (BDC) services provided by Epic BDC LLC. By accepting a proposal, engaging our services, or submitting payment, the client (“Client”) agrees to the following terms:


1. Service Scope

Epic BDC provides full-service BDC support including:

New lead managementMissed appointment follow-upMonthly outbound campaignsOptional inbound call handling All services are delivered based on the package and volume agreed upon in the quote or proposal. Services may be tailored based on client CRM systems, campaign goals, and lead sources.


2. Setup Fee

A one-time setup fee of $995 covers:

Calling system integrationData setupCustom CRM configurationGoogle Sheet tracking setup This is due before service begins and is non-refundable.


3. Lead Volume & Minimums

Epic BDC requires a monthly minimum of 500 leads.Leads are billed at the rate indicated in your quote.Volume-based pricing is calculated monthly based on actual lead volume.


4. Inbound Call Handling (Optional)

If selected, Epic BDC will manage inbound calls on behalf of the client at $5 per call, tracked and billed monthly.


5. Reporting & Transparency

Clients receive real-time performance tracking via:

CRM integrationLive Google Sheets tracking appointments, shows, and sold unitsWeekly updates and access to call logs upon request


6. Payment Terms

Invoices are issued on the 1st of each month and are due upon receipt.A 5-day grace period is provided. Payments received after this window will incur a 10% late fee.Accepted payment methods:ACH TransferCredit Card on File (subject to a 3% processing fee)Client agrees to maintain an active payment method for recurring billing.


7. Commitment & Cancellation

An initial 90-day commitment is required to establish workflows and optimize results.After this period, the agreement becomes month-to-month.A 30-day written notice is required to cancel services.Early cancellations are subject to final billing for services rendered and lead volume processed.


8. Business Hours & Holidays

Epic BDC operates Monday through Saturday, 8:00 AM – 7:00 PM CST.

We are closed on the following holidays:

ThanksgivingChristmas DayNew Year’s DayFourth of JulyMemorial DayLabor Day


9. Client Responsibilities

Clients agree to:

Provide timely access to CRM, lead data, and campaign materialsRespond to communication within 24-48 hoursReport sales/show data back to Epic BDC for performance tracking Failure to provide required access or communication may impact performance and billing timelines.


10. Confidentiality

All client data, contact information, and CRM access remain confidential and will never be shared, sold, or used outside of the agreed scope of services.


12. Amendments

Epic BDC reserves the right to update these Terms & Conditions. Clients will be notified in writing of any significant changes. Continued use of services constitutes agreement to updated terms.
